Create a manifest

Get Sending is designed to enable you to create your Statement of Posting online.

To create a manifest, select ‘New Record’ and Get Sending!

Note: During the creation process we refer to the data entered as a 'Manifest'. This data may relate to both the postage cost and other costs (represented by My Other Products) you decide to allocate to the job you are processing.

  • To start creating a manifest click the Get Sending link from the User Home Page.
  • Work through the three steps: Create, Prepare and Complete.
  • Once complete, print a hard copy of the Statement of Posting (printed manifest) to accompany all lodged mail. Now the process is complete.

Note: if lodging international mail, a separate Statement of Posting (printed manifest) will be printed, to accompany the international lodgement.

Save a manifest record

What is the Save Record function?

If you have started to create a manifest record and you are not ready to finalise it yet, you have the option to save the record in the system and complete it at a later date.

In order to successfully save a manifest record all mandatory fields must be completed, these are:

  • Lodger Number
  • Customer Number (for mailhouses)
  • Customer Reference
  • Lodgement Date.

There are 2 ways that you can save a manifest record:

  • Click 'Save Record' at the top left of the create screen; or
  • Click 'Prepare Manifest'. This will add your manifest record to the saved records list, but will not complete it.

Once a manifest has been saved you can:

  • Create a template
  • Merge selected manifests.

At any time you can:

  • Delete redundant saved manifests
  • Select a saved manifest record and prepare and complete the manifest.

Hold lines

Once a manifest has been saved you then have the opportunity to hold any selected manifest lines and/or add held lines to the current or future manifest record.

e.g. you have prepared your manifest in advance, and now find that two lines on your prepared manifest are not ready for dispatch. Open the saved manifest record and select the lines you wish to remove from this manifest and press 'hold selected'.

Note: The manifest record must be saved in order to hold selected lines or add held lines.
You can view all held lines by accessing Hold Lines from the side navigation menu.

The Hold Lines list allows you to:

  • Search any manifest lines that have been selected to hold
  • Delete any redundant held manifest lines
  • Add any held manifest lines to your current manifest.

Note: Once a held line has been added to a record it is removed from the Hold Lines list and cannot be reused.

International product requirements

Lodging an International product using an IBP009 (Blue Consignment Note):

  • Count international letters and packets (up to 2kg) for lodging.
  • Fill in the IBP009 form i.e. items vs total volume. Product codes are already on the IBP009, IBP009 forms are also overprinted, just requiring a name and signature.
  • Place all items in blue satchel. Ensure each item has an International Air service sticker, and for each parcel, a green Custom Declaration (OS008a) completed.
  • Attach the IBP009 to the IBP satchel.
  • Dispatch.

Lodging an International product using Lodgement Manager:

  • Count international letters and packets (up to 2kg) for lodging.
  • Fill in Lodgement Manager manifest, and print a Statement of Posting.
  • Place the mail items in the satchel.
  • Attach the Statement of Posting to the IBP satchel.
  • Dispatch

Note: all International Air Satchel (IBP) product lodged using Lodgement Manager will have its own Statement of Posting (excluding any domestic product). Please ensure the international Statement of Posting is attached to the satchel.

Product searching

How to enter a product.

You can enter a New Zealand Post product into the product code field by:

  • Keying in the product code (if you know it) or by
  • Clicking on the magnifying glass, which takes you to the My Products screen (your favourites list), and
    • selecting Use it from your favourites list adjacent to the desired product (New Zealand Post or My Other Products) or
    • searching on your favourites list.

Note: The Group Administrator has to make products available for your favourites selection.

Business Mail Acceptance Point (BMAP)

All business mail lodged through a dispatch method will be accepted at one of the following Business Mail Acceptance Points:

  • Auckland Mail Service Centre
  • Waikato Mail Service Centre
  • Gisborne Mail Service Centre
  • Hawkes Bay Mail Service Centre
  • Manawatu Mail Service Centre
  • Wellington Mail Service Centre
  • Christchurch Mail Service Centre
  • Nelson Mail Service Centre
  • Dunedin Mail Service Centre
  • Invercargill Mail Service Centre.

Your printed Statement of Posting must accompany the mail (regardless of the dispatch method) to the BMAP at the time of lodgement.

Note: under no circumstances should mail lodged by credit on a Statement of Posting be deposited into a postbox or street receiver.

Sending your Lodgement to New Zealand Post

Dispatch method describes the way your mail gets to New Zealand Post:

  • Courier
  • Other (e.g. Customer own transport)
  • New Zealand Post transport
  • Mail Service Centre
  • Box lobby*
  • PostShop

Note: * No PermitPost mail is to be dispatched into post boxes, street receivers or box lobbies.
