How to set up Lodgement Manager for your business to meet your business needs.

There are four areas that your organisation may like to set up so that individual users can select favourites. This will reduce the amount of information you need to re-enter each time, enabling users to go straight to products, customers and cost centres that are frequently used.

Follow the set up instructions for each type of favourite below.

New Zealand Post products

VolumePost, PrintPost and GoFlexible are New Zealand Post domestic bulk mail postal products that have been set up for use in Lodgement Manager.

Our parcel sending range provides a reliable and economical way to send large parcels (up to 25kg) around New Zealand.

International products available for use in Lodgement Manager are noted in the FAQ.

Your organisation may have contract product codes, these can be used in Lodgement Manager. You need to know the correct product code to lodge using these codes.

Note: If you find you can not access a product you believe is a valid product code, please call 0800 562 727.

Other products

If you have been a Mailroom Manager user, then you will recognise these products as your Chargeback products.

My other products are products that you can create and use to track the full costs of your mailing jobs. These products will not appear on your Statement of Posting.

You can enter a product name and unit price. When creating a manifest you can use these products and assign them to a cost centre, enabling you to report and allocate the postage and non-postage costs associated with a job.

Customers

Customers are entities that you work on behalf of.

If you are a mailhouse, your business revolves around preparing mail for your Customers. Where these entities have a credit relationship with New Zealand Post, you can set them up so they are available for selection when entering the Customer Number in the ‘create’ screen. This will mean the postage costs for that manifest will be billed directly to the Customer by New Zealand Post.

To do this, you must have authority from the Customer you are working on behalf of to use their New Zealand Post Customer Number.

Cost centres

Lodgement Manager provides you with the facility to allocate the manifest costs to Cost Centres. This enables you to charge back to the initiating department/business unit/client the cost of processing their mail.

Both New Zealand Post products and My Other products can be charged to cost centres.

When creating a manifest, assign a cost centre at the time of entering the product line.

When preparing a manifest, look at the view breakdown button to see where you have allocated the manifest costs. The view breakdown screen also shows the unit price and total cost of the manifest record.

Note: if you are a mailhouse working on behalf of a customer you will see the card rate for each product, not the customer's contract rate.
