How to prepare your mail for lodgement

Electronic Lodgement Information

Lodgement details must be submitted electronically via Lodgement Manager with the appropriate Adcard product codes or the lodgement will be held by New Zealand Post until the details are received.

Product codes

When completing your lodgement you’ll need to tell us your product code. Refer to the tables at the start of this section for the correct code.

Presentation

Items must be placed in letter trays with the delivery address and PermitPost impression facing the same way, towards the front of the tray (where the label is located).

Within each sequenced mail items must be sequenced in accordance with the Mail Printing section.

Within each un-sequenced mail tray, the mail item must be sequenced in ascending postcode order where the postcode is known. Unsequenced items without postcodes can be included but must be grouped after the postcode ordered items.

Each tray roll cage and ULD must have a New Zealand Post label attached.

Sequenced and un-sequenced items must be presented in separate trays with separate labelling requirements.

For sequenced items the label must include:

  • the word “ROUND” either printed, stamped or hand-written
  • the Round Number range that applies to items within the tray (that is, the first and last Round Numbers). Round Numbers should be entered into the fields on standard tray labels usually used for Postcode range
  • the lodgement day crossed to identify when mail was lodged with New Zealand Post
  • a reference code (for example, customer or mailing house reference)
  • the green label for lodgements originating from the North Island and the purple label for lodgements originating from the South Island.

For un-sequenced items the label must include:

  • the word “POSTCODE” either printed, stamped or hand-written
  • the postcode range that applies to items within the tray (that is, the first and last postcode numbers)
  • the lodgement day crossed to identify when mail was lodged with New Zealand Post
  • a reference code (for example, customer or mailing house reference)
  • the red label.

Letter trays are available from your nearest New Zealand Post Mail Service Centre. Letter trays must not weigh more than 12kg. If a tray weighs more than this, mail must be split into two or more trays.

If you use more than 40 trays per lodgement, a container service is available.

These labels can be ordered through your Mail Centre, as can emergency supplies of blank labels if required. To find out more about these labels please download the Bulk Mail labelling chart (PDF – 602KB).
